Users and roles
Every person gets their own login, so that the record shows who did what and each person sees only what their role allows.
Add a user
| Field | How to fill it | Why it matters |
|---|---|---|
| Name (required) | Their full name | Shown on the calendar and on assigned work |
| Email (required) | Their own work email | Used for signing in and password resets |
| Username | A short login name | Useful for staff who do not check email often |
| Role (required) | Admin, Office or Field | Decides what they can see and do |
| Password | At least 8 characters | Share it privately, and ask them to keep it safe |
What each role can do
| Role | Access |
|---|---|
| Admin | Everything, including settings and users |
| Office | Leads, site visits, jobs, services, quotes, proformas, invoices, customers and dashboard financials, plus the extension and their own attendance, leave and expenses |
| Field | Site visits, jobs and services assigned to them, with notes, plus their own attendance, leave and expenses |
Choose the lowest role that lets someone do their job. Field staff do not need to see your prices or accounts.
When someone leaves
Disable their login straight away. Their past work stays on record, and they can no longer sign in.
Your plan's user limit
Each active login counts towards the limit on your plan. Disabled users do not count. If you reach the limit, you will not be able to add another active user until you disable one or move to a larger plan.
