Invoices

An invoice is your formal bill. Numbering, tax details and payment status all matter here, as your accounts and any tax returns rely on it.

Create an invoice

Convert a quote or proforma where you can, so that nothing is retyped. You can also create one directly for a small sale.

Invoice fields

Field How to fill it Why it matters
Client name (required) The legal name to be billed Must be correct for the customer's accounts
Client GSTIN or tax ID Their registration number A registered Indian customer may need this to claim tax credit
Place of supply (India) The state of supply Decides CGST and SGST or IGST
Ship to The site, if different from billing Records where the work was done
Date (required) The invoice date Decides which return period it belongs to
Due date When payment is expected Helps you see overdue money
Items Description, details, HSN, quantity, unit, rate The record of what was supplied
Notes Anything specific to this bill Shown on the document
Terms Payment and warranty terms Comes from settings

The invoice number uses your prefix and is given automatically, so numbers stay in sequence.

Invoice statuses

  • Unpaid: nothing received yet.
  • Partially Paid: some has been received.
  • Paid: the full amount has been received.
  • Cancelled: the invoice no longer stands.

The status follows the payments you record, so you do not usually need to change it by hand.

Check before sending

  • Is the customer's legal name and tax number right?
  • Is the place of supply right?
  • Do quantities match what was actually installed? Cable lengths often change on site.
  • Is the date in the right period?

Send it

Use PDF to review the document, then WhatsApp or Email. Message wording comes from your message templates.

In India

Invoices you raise feed the GST returns screen. The software works out the tax from what you enter, but please have your accountant confirm codes and rates.
