Leads
A lead is anyone who has asked about your CCTV work but has not yet become a customer. Recording every enquiry here means that nothing depends on one person's phone or memory.
Create a lead
Open Leads and choose to add a new one. Only the name is required, so you can save an enquiry during a phone call and complete the rest later.
Lead fields
| Field | How to fill it | Why it matters |
|---|---|---|
| Name (required) | The person you are talking to | Appears in your lead list, and becomes the client on documents |
| Phone / WhatsApp | Include the country code, such as +91 98765 43210 | The WhatsApp button needs a correct number |
| Their email, if you have it | Lets you send documents by email | |
| Company | The business name, if any | Helps you tell apart contacts with the same name, and fills the quote's company placeholder |
| Address and City | Where the customer or site is | Saves retyping and helps you plan visits by area |
| Source | Manual, WhatsApp, Phone, Referral or Website | Shows you where your work comes from |
| Status | New, Contacted, Quoted, Won or Lost | Shows what needs attention |
| Requirement | What they asked for, such as "4 IP cameras with NVR for shop, 30 days recording" | Gives the surveyor and quote writer the brief, and can be used in templates |
| Notes | Anything else useful, such as "call after 6 pm" | Keeps context for whoever picks it up next |
Using lead statuses
- New: nobody has replied yet. Work through these first.
- Contacted: you have replied and are waiting or discussing.
- Quoted: you have sent a price. Follow these up on a regular day.
- Won: they went ahead.
- Lost: they did not. Add the reason to the notes, since those reasons show you what to fix.
Writing a useful requirement
Note the site type, rough camera count, indoor or outdoor, recording days and any special need like night vision. "Need cameras" tells your team nothing. "Warehouse, about 8 outdoor cameras, night vision, 30 days recording, wants phone viewing" tells them what to prepare.
Adding leads from WhatsApp
The WhatsApp button on a lead opens a message using a message template. If you use WhatsApp Web, the Chrome extension adds an open chat as a lead in one click.
What comes next
From a lead you can book a site visit or write a quote. The lead's details carry over, so you do not have to type them again.
