Payments
Recording each payment keeps your invoice status and customer balance correct. CCTV work is often paid in stages, so one invoice can have several payments.
Record a payment
Open the invoice and add a payment.
| Field | How to fill it | Why it matters |
|---|---|---|
| Amount received (required) | What actually reached you | Updates the balance |
| Date (required) | The day you received it | Gives you an accurate account history |
| Mode | Cash, UPI, Bank Transfer, Cheque, Card or Other | Helps match your records with the bank |
| Reference | UTR number, cheque number or similar | Lets you trace it later if there is a query |
| Notes | Such as "advance as agreed" | Context for whoever reads it next |
What happens next
The invoice changes to Partially Paid or Paid on its own. The amount also shows on the customer's account.
Good habits
- Record the payment on the day it arrives, so that your balance can be trusted.
- For cheques, consider recording it once it clears, or add a note that it is pending.
- Always enter a reference for bank payments. It saves time when reconciling at month end.
Following up
Unpaid and part-paid invoices show you who to follow up with. A polite reminder sent soon after the due date usually works better than one sent weeks later.
