Proforma invoices
A proforma invoice confirms what a customer is ordering and asks for payment, usually an advance, before the final tax invoice. It is not a tax invoice. In CamVerion it is also the step that starts your installation work.
Create a proforma
The usual way is Create Proforma Invoice on an accepted quote. You can also create one directly. Its fields match those of a quote, with one difference: a Due date replaces Valid until.
| Field | How to fill it | Why it matters |
|---|---|---|
| Date (required) | The date you issue it | Printed on the document |
| Due date | When you expect payment | Set from your default invoice due days, and can be changed |
| Status | Draft, Sent, Approved, Converted or Cancelled | Shows where the order stands |
| Items, notes and terms | Check they still match what was agreed | The customer may have changed the order since the quote |
Your bank details and, in India, UPI scan to pay are shown so the customer can pay from the document. These come from company settings.
Jobs are created with the proforma
Every new proforma gets its standard jobs. New accounts start with Purchase and Installation, and you can change this list under job types. Check it before you create your first proforma.
Approve the proforma
When the customer confirms, use Approve. The status changes to Approved, and the client becomes a customer if they are not one already. An existing customer record is left unchanged.
Recording an advance
Record payments against the invoice once it has been created. See payments.
Convert to an invoice
When it is time to bill, choose Create Invoice. The items carry over and the proforma shows as Converted.
