Expenses
Installers spend money on fuel, food and small purchases on site. Claims with a photo mean no lost paper bills and a clear running account for each employee.

Employee account
Each employee has a running account showing what has been claimed and paid. Both of you can see the same figures, which ends most disagreements.
Setting clear rules
Tell staff what can be claimed, any limits and how soon claims must be submitted. Weekly works well, since people forget bills quickly.
